HelpGetting paid

Invoices, deposits and payments

Request the deposit in one tap, issue invoices with a pay link, record what you collect and send PDF receipts.

Watch how it's done

Payments shows what you’re owed, what you’ve collected and what’s overdue, trip by trip. Every invoice can have a link the customer pays from their phone.

Request the deposit

Once the customer accepts a proposal, the proposal shows Request deposit with the amount: 30% of the total.

  1. Press Request deposit.
  2. Vuela creates the deposit invoice with its pay link, and copies the link.
  3. Paste it to the customer on WhatsApp or by email.

There’s one deposit per proposal: pressing twice never bills the customer twice. You can also request it from Bookings, with Request deposit (30%).

Issue an invoice

For the balance, or any other charge:

  1. Go to Payments and press New invoice.
  2. Choose the Trip, and fill in the Number, the amount and the Due date.
  3. Press Issue invoice.

On the invoice, press Create pay link, then Copy pay link. The customer opens a page with your brand, sees what they owe and when it’s due, and pays the balance by card or Mercado Pago.

When they pay online, the payment is recorded by itself and the invoice becomes Paid as soon as the payment provider confirms it. For that, you need Mercado Pago or Stripe connected: see Online payments.

If you regenerate the link, the old one stops working. Use it if you sent the link to the wrong person.

Record a payment

If the customer paid in cash, by bank transfer or some other way:

  1. In Payments, press Record payment.
  2. Choose the Invoice. Each one shows what’s still outstanding.
  3. Enter the amount, the Method (cash, card, transfer, Stripe, Mercado Pago or other), the Paid at date and a Reference, such as the transfer number.
  4. Press Save payment.

When the payments cover the invoice, it becomes Paid on its own.

The receipt

Press a payment to see its receipt: who paid, how much, how, and what’s left on the invoice and the trip. Press Download PDF to send it to the customer.

If you recorded a payment by mistake, press Delete payment and the balance is recalculated.

How the money is doing

At the top of Payments you see:

  • Collected · last 30 days;
  • Outstanding: what’s still to collect, and on how many trips;
  • Overdue: what’s past its due date;
  • Received · all time.

In the table, each trip with a balance shows what it owes and how many days overdue it is.

Currencies

Each trip has one currency, and its invoices and payments are in that currency. Vuela never adds pesos to dollars: if you have trips in several currencies, each total shows on its own.
